We are seeking a highly organized and detail-oriented Operations Coordinator / Specialist to support and execute core operational processes across the fleet. This is a hands-on, execution-focused role. The Operations Coordinator will work closely with the founders and external partners to ensure trucks, drivers, and documentation are operationally ready, compliant and supported at all times. This is a hybrid role during U.S. business hours. Key Responsibilities: Fleet & Driver Operations: - Coordinate onboarding of drivers and owner-operators, including document collection and readiness tracking. - Maintain up-to-date records for truck status, compliance, and operational readiness. - Serve as a primary operational point of contact for drivers. Maintenance & Breakdowns: - Coordinate scheduled maintenance, PMs, PTIs, and inspections. - Support breakdowns and roadside events by coordinating with shops, vendors and service providers. - Track downtime, estimates, and repair timelines and escalate critical issues. Coordination with other Functions: - Work closely with dispatch, safety, accounting and other external partners. - Ensure information flows accurately and on-time between all parties. - Monitor daily operational status and flag risks or blockers. Reporting & Organization: - Maintain operational dashboards, trackers and checklists. - Prepare basic operational and performance summaries. - Manage multiple follow-ups and deadlines independently.
