💼 Position:
Intern - Operations Support
📝 Key responsibilities:
• Support the receipt, registration, distribution, and filing of controlled documents in accordance with BMS guidelines and procedures.
• Maintain and regularly update the document control register, ensuring all records are accurately captured with unique identifiers (title, number, issue date, and revision status).
• Assist in the digitization process by scanning, indexing, and archiving physical documents within the Document Management System (DMS), promoting a paperless environment where feasible.
• Coordinate with internal stakeholders to collect, review, and process document submissions, ensuring compliance with project naming conventions, formatting standards, and version control protocols.
• Monitor document workflows by tracking pending submissions, transmittals, and approvals; proactively follow up and escalate delays when necessary.
• Assist in preparing and issuing transmittal advices for externally shared documents, ensuring accurate recording of revision numbers and transmission dates in the Output Register.
• Support pre-transmittal quality checks on outgoing documents to verify completeness, accuracy, and compliance with internal and client requirements; maintain audit-ready review records.
• Conduct periodic audits of both physical and electronic filing systems to identify discrepancies, improve organization, and ensure efficient document retrieval.
• Assist with the archiving of project documentation upon completion, maintaining an organized archive register and applying retention schedules in line with BMS.
• Contribute to the preparation of document control reports, dashboards, and performance metrics for management review.
📌 Candidate Requirements:
• Proficiency in Microsoft Office Suite, particularly Microsoft Word, Excel, and Outlook.
• Familiarity with electronic document management systems (EDMS) or content management platforms is an advantage.
• Ability to operate standard office equipment, including scanners, printers, and photocopiers.
• Strong attention to detail and a commitment to accuracy in all tasks.
• Excellent organisational and time management skills, with the ability to prioritise and manage multiple tasks simultaneously.
• Effective written and verbal communication skills in English, Russian, and Uzbek.
• A proactive, self-motivated attitude with the ability to work both independently and as part of a collaborative team.
• High level of integrity and discretion in handling confidential information.
